This Privacy Policy explains how Vitalis Health collects, uses, stores, shares and protects your personal data, including your health data, when you visit our website, complete our online health assessment tools, book an appointment, or receive care from us. Please read it together with our Terms and Conditions and our Refund and Cancellation Policy.
Vitalis Health, Lifestyle Disease and Longevity Clinic, is a sole proprietorship concern of Dr. Jisha V. In this policy, the terms “we”, “us” and “our” refer to Vitalis Health.
For the purposes of the Digital Personal Data Protection Act, 2023, we act as the Data Fiduciary in respect of the personal data described in this policy. You are the Data Principal.
This policy applies to personal data collected through our website, our online health assessment tools, our appointment booking process, our email and telephone communications, and the clinical services we provide. It does not apply to third party websites that we link to, each of which operates under its own privacy policy.
We collect your name, age or date of birth, sex or gender, email address, telephone number and location or city. Where required for your clinical record, for billing or for a statutory purpose, we may also collect identity or address details.
Our online health assessment tools, including the Smart Health Screener, collect detailed information about your health. This includes the following categories.
Health information is sensitive. We collect it only because it is necessary to assess your risk, to advise you appropriately, and to deliver the clinical service you have asked for.
Where payment is made online, it is processed by a third party payment gateway. Your card number, card verification value, net banking credentials and similar payment credentials are entered on the gateway and are not collected, seen or stored by us. We receive only a transaction reference, the amount, the payment status and the payer details necessary to reconcile your booking.
When you visit our website we may collect your internet protocol address, browser type, device type, operating system, referring page, the pages you view, and the date and duration of your visit. We collect this through cookies and similar technologies, including Google Analytics and Google Ads. This information is used in aggregate to understand how the website is used and to measure the performance of our campaigns.
We use your personal data for the following purposes.
We do not send promotional or marketing email. Our communications to you are limited to appointment related messages, reports and matters concerning your care.
We process your personal data on the basis of the consent you provide when you submit information to us, and, where applicable, for the legitimate uses permitted under law and to meet our legal and regulatory obligations. You may withdraw your consent at any time, as described in section 10. Withdrawal of consent will not affect processing carried out before the withdrawal, and it may mean that we are no longer able to provide certain services to you.
When you complete the Smart Health Screener, you are asked to give two separate consents. They are independent of each other and you may give one without giving the other.
The first consent allows you to share your screener results with Vitalis Health so that the physician can review them and prepare for your visit. Without this consent we are unable to use your responses to prepare for or inform your consultation.
The second consent allows your anonymised data to be used for health research at Vitalis Health. This consent is entirely optional. Declining it has no effect whatsoever on the care you receive or on the cost of any service.
Where you give this consent, we remove your name, contact details and any other information that could reasonably identify you before the data is used. No identifying information is shared externally. Anonymised data may be used to study patterns of risk in the population we serve, to evaluate the effectiveness of our programmes, and to improve our assessment tools. Any output that is published or presented will report findings at a group level only and will not identify any individual.
You may withdraw this research consent at any time by writing to info@vitalishealth.in. Please note that where data has already been irreversibly anonymised and combined into a completed analysis, it may not be technically possible to extract or delete your individual contribution, and we will tell you if that is the case.
We do not sell your personal data. We do not share your personal data with any third party for that third party’s own marketing or promotional purposes. We share it only in the following circumstances.
Diagnostic investigations are carried out by an independent third party laboratory. Where you choose to undergo investigations, we share the information necessary to process your samples and to report your results. This ordinarily includes your name, age, sex, contact details, the tests requested and relevant clinical details. The laboratory processes this information under its own privacy policy and its own regulatory obligations.
We use a small number of service providers who process data on our behalf and under our instructions. These include our website hosting provider, our appointment and clinical records software, our email delivery service, our payment gateway, and our analytics providers. These providers are permitted to use your data only for the purpose of providing their service to us.
Where your care requires referral to another qualified healthcare provider, we will share the clinical information necessary for that referral, with your knowledge.
We may disclose personal data where we are required to do so by law, by a court order, or by a competent statutory authority, or where disclosure is necessary to protect life or to prevent serious harm.
Your data is stored on servers located in India. We apply administrative, physical and technical safeguards to protect it, including access control, restricted staff access on a need to know basis, encrypted transmission, and confidentiality obligations on our personnel.
We retain clinical records for the period required under applicable medical record keeping rules and for such further period as is necessary for continuity of care, for the resolution of any dispute, and for compliance with accounting and tax law. Where data is no longer required for any of these purposes and you have not asked us to retain it, we will erase it or anonymise it.
No method of transmission over the internet and no method of electronic storage is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security.
Our website uses cookies to enable basic functionality, to remember your preferences, and to measure how the website is used. We use Google Analytics and Google Ads, which set their own cookies and which may collect information about your use of the website. You can control or disable cookies through your browser settings. Disabling cookies may affect some features of the website.
Subject to applicable law, you have the following rights in respect of your personal data.
To exercise any of these rights, write to info@vitalishealth.in from the email address associated with your record, or contact us at the telephone numbers listed in section 1. We may need to verify your identity before acting on a request. We will respond within thirty days of receiving a complete request.
If you are not satisfied with the way we have handled your personal data or your request, you may contact our Grievance Officer.
We will acknowledge your grievance and respond to it within thirty days. If your grievance remains unresolved, you may approach the Data Protection Board of India.
Our online services are intended for adults. We do not knowingly collect personal data from a person below the age of eighteen years without the verifiable consent of a parent or lawful guardian. Where a minor is brought for consultation, the health information is provided and consented to by the parent or lawful guardian. If you believe that a minor has provided us with personal data without such consent, please write to info@vitalishealth.in and we will take appropriate action.
Our website may contain links to websites that are not operated by us. We have no control over and accept no responsibility for the content or the privacy practices of those websites. We recommend that you read the privacy policy of every website you visit.
We may update this policy from time to time to reflect changes in our services or in applicable law. The revised policy will be posted on this page with a new date. Where a change is material, we will take reasonable steps to bring it to your notice.
